As part of our drive to create true worth, lasting value and a positive impact, we need an exceptional Executive Assistant. Reporting to our Chief Family Ownership Officer, you will really work side by side, responsible for various administrative tasks to streamline the different activities with various priorities.

Specifically, you will

  • Manage and prioritize executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Direct calls and emails, or personally address communications when necessary.
  • Coordinate logistics for meetings, conferences, and events.
  • Take meeting minutes, distribute them, and follow up on action items.
  • Plan comprehensive travel itineraries, including all accommodations and logistics.
  • Maintain confidential records and conduct research for data compilation.
  • Manage expense reports, invoices, and assist with budget tracking and adherence
  • Serve as a liaison for project management and execution, internal and external stakeholders, and represent the executive in key communications.

What you will need

  • Bachelor’s Degree in Business and/or related field or, business experience of a management’s office at an executive level
  • Experienced in supporting finance executives, managing confidential financial documents, preparing reports, and coordinating complex schedules in fast-paced environments.
  • Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously with a high level of accuracy.
  • Project management and data analysis capabilities.
  • Proficiency in using office software such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Fluency in English and German (spoken and written), other languages like Dutch are an asset.
  • Demonstrating high standards of behavior and integrity in all actions.
  • Shows accountability and urgency, facing issues with positivity, flexibility and resilience.
  • Demonstrates excellent stakeholder and customer management, engaging them in pursuit of shared objectives.
  • Adapts to change and uncertainty quickly and easily.
